Privacy Policy – SOCRATES Call for Fellowship Applications

Information for applicants on data protection pursuant to Art. 13 EU General Data Protection Regulation (GDPR)

The protection of your personal data is of the utmost importance to the Institute of Philosophy at Stiftung Gottfried Wilhelm Leibniz University Hannover (LUH). Therefore, we wish to inform you about data protection with respect to the use of your data in the context of your application for a Fellowship with the SOCRATES group at the Institute of Philosophy.

We provide information in this document about data protection in relation to our fellowship call and at the same time ensure compliance with all relevant legal provisions, in particular the EU General Data Protection Regulation (GDPR) and the Lower Saxony Data Protection Act (NDSG-neu).

The EU General Data Protection Regulation (GDPR) and the Lower Saxony Data Protection Act (NDSG) are the legal basis for the protection of personal data and therefore also of applicants’ data. In accordance with Article 13 (1) and (2) GDPR, upon receipt of documents we must inform applicants of the type of data that we collect.

Stiftung Gottfried Wilhelm Leibniz Universität Hannover is responsible for the collection of data with respect to the application process and is therefore the data controller according to data protection regulations.

Data protection and data collection

The subject of data protection is your personal data, i.e. details of your personal and material circumstances (Article 4 (1) GDPR) that you have provided when applying for a SOCRATES Fellowship.

Purpose of data processing

Your data will be processed for the purpose of awarding junior and senior fellowships at the DFG-funded Centre for Advanced Studies SOCRATES: Social Credibility and Trustworthiness of Expert Knowledge and Science-Based Information. 

Legal basis for data processing

The legal basis for data processing is Article 6 (1) (b) GDPR.

Obligation to provide data

You are not obliged to provide this data, but consideration of your application is only possible if you provide us with the required and mandatory data. The provision of further, optional data is not required and is voluntary. If you choose not to provide necessary information, your application cannot be processed.

Storage duration

Personal data will be stored for the duration of the application process and up to 6 months thereafter. Then, the data will be erased. Application data of successful candidates will be stored until 12 months after the completion of the SOCRATES project for reporting purposes. Should you wish for your data to be deleted, we will delete your data immediately, unless there are legal obligations to continue processing it.

Recipients of the personal data

  • Staff members of the Institute of Philosophy responsible for administrating the call for fellowships and the establishment of a fellowship in the case of successful application.
  • Staff members of the Department of Philosophy (Philosophische Fakultät) responsible for the administration of fellowships, e.g. contract matters and financial accounting.
  • Staff members of the central administration of Leibniz University Hannover responsible for the administration of fellowships, e.g. contract matters and financial accounting.

Your data is received in digital format and will be entered into Excel spreadsheets, but will not be disclosed to third parties, except for the abovementioned purposes. LUH staff members are obliged to maintain confidentiality and compliance with data protection.

Your rights

You have the following rights with regard to your personal data (in accordance with Art. 15 to 21 GDPR):

  • Right of access
  • Right to rectification and completion
  • Right to erasure
  • Right to restriction of processing
  • Right to data portability / right to receive a copy

You have the right to be informed of personal data relating to you, as well as the right to rectification or erasure of data or restriction of processing thereof.

If it is intended to process your personal data for another purpose, the relevant institution will provide you with information on this other purpose and all other important information prior to such further processing.

The right to complain

You also have the right to lodge a complaint with the supervisory authority if you consider that the processing of personal data relating to you infringes the law.

Data processing is subject to the supervision of the Commissioner for Data Protection of Lower Saxony, with whom complaints may be filed. More information and contact details can be found at https://www.lfd.niedersachsen.de.
